How to take a card payment over the phone with a live payment link

Last updated: October 16, 2026

This guide shows you how to take a card payment over the phone using a Live Payment Link while creating an order in the back office. The customer receives an email or SMS, enters their card details and pays while you stay on the call.

Important: Only use a live payment link when the customer is on the phone (or otherwise ready) to pay straight away. If they will pay later, see Choosing the right payment option when creating an order in the back office.

Steps

  1. Build the order as normal and proceed to checkout. See 📄 Create a new order in Backoffice

  2. Select Live Payment Link as the payment method.

  3. Email the payment link to the customer.

  4. Ask the customer to open the email or SMS, enter their card details and press Pay. Stay on the call until they tell you the payment was successful.

Confirm the payment before creating the order

  1. Return to the order in the back office.

  2. Click Refresh to check the transaction status.

  3. Once the payment shows as confirmed, click OK.

  4. Review the booking details. If anything is wrong, remove the payment, correct the booking details, and then continue.

  5. When everything is correct, create the order to secure the booking.

Common issues

  • The customer says they paid but the payment isn't showing: Click Refresh again and wait a moment. Don't create the order until the payment is confirmed in the back office.

  • The booking details are wrong after payment: Remove the payment and correct the details before creating the order.

  • If Refresh is not clicked or create order is not selected after refresh the payment will be returned to the customer and order or amendment will not go through - there will be no record of this transaction in the system as this is considered an unsuccessful/incomplete transaction.
