Settings - GL Accounts
GL Account Codes classify what is being sold (e.g. jump session, café sale, socks).
Each GL Account Code should be unique, clearly named, and assigned a type—Product for bookings and memberships, or Stock for café and retail items. Avoid reusing the same code for different purposes; create separate codes for distinct products.
Type | The Type defines how the code is used: – Product: Select for services or finished goods ready for sale. These include items like sessions, parties, or memberships. Examples: "Jump Party", "Membership Fee", "Latte" – Stock: Select for physical items that are part of inventory. These include raw materials, ingredients, or merchandise. Examples: "Grip Socks", "Coffee Beans", "Bottled Water" |
Name | The Name should clearly describe the product, service, or customer group the code relates to. Keep it short, specific, and easy to recognise in reports (e.g. “Jump Party”, “Grip Socks”, “School Groups”). |
Code | The Code should be a unique identifier for the item. Use a consistent format that reflects the category or type (e.g. 6-1010 for jump sessions, 4-5000 for stock items). |
Once created, a GL Account Code’s name and code can be edited, but its type cannot be changed. Codes can be deleted unless they’ve been assigned to a product. Edits will automatically apply to all linked products.
GL Account Codes are assigned at the product or stock level via a dropdown. Facility and POS Products will only show codes with the type "Product"; Stock Items will only show codes with the type "Stock".
