Troubleshooting QR Code and Barcode Scanner at POS

If the barcode scanner is not recognizing the full barcode or displaying "Product Not Found," try the following steps:

1. Check the Barcode Scanner

  • Ensure the scanner is properly connected and powered on.
  • Clean the scanner lens in case dust or smudges are interfering.
  • Test the scanner with a different barcode to see if the issue persists.
  • Verify Scanner Input in Notepad program on device scanner is connected to, click into the Notepad so that your cursor is showing and attempt to scan a barcode product.
    • Does the barcode appear in Notepad? [If not, possibly a connection issue between your scanner and the POS device]
    • Does it match the barcode printed on the product label? [If not, sometimes scanners are set to put an "A" at the start or shortern what they read. You may need to reset the scanner to factory settings, usually by scanning barcode that comes with the manual]
    • Does the barcode match the one set up in Venue Sumo’s stock item database? [If not, possibly the barcode was entered incorrectly into Venue Sumo, which is why it does not find prodcuts in your POS]

2. Verify Barcode Format & Entry

  • Confirm that the scanner is reading the entire barcode.
  • Check if the scanner is configured to read the correct barcode type (UPC, EAN, etc.).
  • Try manually entering the barcode number to see if the product appears.

3. Check Software & Database

  • Ensure the system is set up to recognize the barcode format.
  • Verify that the product is correctly entered in the database with the full barcode.
  • Restart the software or device to refresh the connection.

4. Adjust Scanner Settings

  • If the scanner is truncating the barcode, check its settings to ensure it reads the full length.
  • Some scanners allow adjusting the output format—confirm it’s set correctly.

5. Test with Another Scanner or Device

  • If possible, try scanning with a different scanner or app to determine if the issue is hardware- or software-related.

Here’s a practical solution to handle the unrecognized candy barcodes:

  1. Check for Formatting Issues: Sometimes, the barcode format in the system doesn’t match the actual barcode type (UPC, EAN, etc.). We can verify if adjusting the format in the system allows recognition.
  2. Manually Add Barcodes: If the system doesn’t recognize certain barcodes, we can manually add them to the inventory database, mapping them correctly to the corresponding product.
  3. Use an Alias or Secondary Barcode Field: Some systems allow multiple barcodes per product. If that’s the case, we can add both the scanned barcode and the one recognized by the scanner site to avoid conflicts.
  4. Test Before Full Import: Before bulk importing, we can test a few sample products to confirm whether they scan properly in the live environment.
