Automated Membership Emails

This document includes samples of all the emails sent to clients during the process of purchase confirmation through to payment processing for a membership. You can customise the email content to a certain extent if desired, ensuring it aligns with your communication style or business requirements.


New Order Email

  • Time sent: Immediately after a customer purchases a membership
  • Email Template: "Order Confirmation Email"
  • This email welcomes the recipient and provides instructions for setting up and accessing their member portal. It highlights the benefits of membership, such as exclusive discounts, and includes key membership details like the membership number, start date, payment schedule, and total paid. Members are reminded to use their membership number when making online bookings or purchases to access discounts and benefits.

Scheduled Payment Reminder Email

  • Time sent: Two days before a scheduled payment is due
  • Email Template: "Scheduled Payment Reminder"
  • The email will ask members to ensure sufficient funds are available and specify the date the payment will be deducted.

Payment Attempt on Due Date

  • Time sent: On the scheduled payment date, a job runs to attempt a funds transfer from the member’s account. If the transfer is unsuccessful, an email will be sent to notify the member of the failure.
  • Email Template: "Scheduled Payment Retry"
  • The email will inform the member that another attempt will be made in 2 days.

Second Payment Attempt

  • Time sent: Two days after the initial failed payment, a second attempt will be made. If this attempt also fails, an email will be sent.
  • Email Template: "Scheduled Payment Fail"
  • The email will ask the member to contact the business to resolve the issue.
  • If a "Declined Membership Payment" fee is configured, the specified fee amount will be added to the total due for the next scheduled payment.

Successful Payment

  • Time Sent: When a payment is successfully processed.
