Discounts Overview

Details

Name	Use a meaningful name as it will be visible to customers when booking/ordering online
Amount	Percent The percentage discount will apply to all qualifying products Fixed Amount If PER PRODUCT is set to NO, only ONE discount—equal to the specified FIXED AMOUNT—will be applied to the transaction, regardless of the number of products purchased If PER PRODUCT is set to YES, a discount equal to the specified FIXED AMOUNT will be applied to ALL qualifying products E.g., If a customer buys 2 Tickets and uses a $5 off discount code: They will receive $10 off if PER PRODUCT is set to YES They will receive $5 off if PER PRODUCT is set to NO
Active	Yes - discount code will work if set up correctly No - discount code will not work anywhere
GL Account Code	Used to track discounts when exporting to accounting systems
Description	Internal use only to describe the discount
For POS Sales Only	Yes - The discount can ONLY be used in the POS for POS Product Types (Merchandise, Food, Beverage, Coffee) and Voucher Product Types (Session Voucher and Gift Voucher) No – The discount can be used EVERYWHERE (POS, Admin and Online)
Admin Only	Yes - The discount can only be used in Admin No - The discount can be used in Admin, POS and Online Note: This variable will only appear if For POS Sales Only is set to NO
Code	Discount code a customer enters to use the discount. Will also be the prefix if it is a discount voucher. Not applicable when discount is for POS Sales online. Note: This variable will only appear if For POS Sales Only is set to NO
Valid From	If a booking is created before this date, the discount will not be recognised, even if the booking is for a date during the discount period. To apply the discount, the booking must be created on or after the Valid From date of the discount. The discount is tied to the booking creation date, not the date of the booking itself. Examples: Booking Created Before Valid From Date: Discount Period: March 1, 2025 - March 31, 2025 Booking Created: January 15, 2025 Booking Date: March 15, 2025 Result: Discount not valid because the booking was created before the Valid From date. Booking Created Within Discount Period: Discount Period: March 1, 2025 - March 31, 2025 Booking Created: March 15, 2025 Booking Date: March 15, 2025 Result: Discount valid because the booking was created within the Valid From and Valid To dates.
Valid TO	If a booking is created before or on this date, the discount will apply, even if the booking is for a future date after the discount has expired. If a booking is created after this date, the discount will no longer apply. The discount is tied to the booking creation date, not the date of the booking itself. Examples: Booking Created on Valid To Date: Discount Period: March 1, 2025 - March 31, 2025 Booking Created: March 31, 2025 Booking Date: December 15, 2025 Result: Discount valid because the booking was created on or before the Valid To date. Booking Created After Valid To Date: Discount Period: March 1, 2025 - March 31, 2025 Booking Created: April 1, 2025 Booking Date: December 15, 2025 Result: Discount not valid because the booking was created after the Valid To date.

Quantity Restrictions

Per Product	Yes - The discount will apply to all qualifying products No - The discount will apply to only one qualifying product, regardless of the quantity Note: This variable will only appear if it is a FIXED AMOUNT discount.
Max Amount	The maximum total discount value that can be applied, regardless of the number of products or transactions. Note: This variable will only appear if it is a PERCENTAGE discount or a FIXED AMOUNT discount with Per Product = Yes
Min Qty	The minimum number of products that must be purchased to qualify for the discount. Important Note: The quantity applies per order or transaction, not to the overall uses of the discount code. Note: This variable will only appear if it is a PERCENTAGE discount or a FIXED AMOUNT discount with Per Product = Yes
Max Qty	The maximum number of products eligible for the discount. Once this limit is reached, no further discounts will be applied. MAX QTY applies to Facility Products only if specified in the FILTERS section. If no specific products are added, MAX QTY is ignored, and the discount applies to all Facility Products in the shopping cart. Important Note: The quantity applies per order or transaction, not to the overall uses of the discount code. Note: This variable will only appear if it is a PERCENTAGE discount or a FIXED AMOUNT discount with Per Product = Yes
Nth QTY	Represents the specific quantity at which a discount or condition is applied. For example: If NTH QTY is set to 2, the discount would apply to every second product purchased. This could be used for a buy 1 get 1 free discount. Note: This variable will only appear if it is a PERCENTAGE discount or a FIXED AMOUNT discount with Per Product = Yes

Booking Settings

These settings are not relevant to POS Products and will be ignored

Booking From	BOOKING FROM refers to the earliest date a booking can occur for the discount to be valid. If the booking is for a date before the BOOKING FROM date, the discount will not apply. If the booking is for a date on or after the BOOKING FROM date, the discount will apply. This condition is based on the actual booking date, not when the booking is made.
Booking To	BOOKING TO refers to the latest date a booking can occur for the discount to be valid. If the booking is for a date after the BOOKING TO date, the discount will not apply. If the booking is for a date on or before the BOOKING TO date, the discount will apply. This condition is based on the actual booking date, not when the booking is made.
Discount by Duration	If set to YES: The discount will only be applied if a location, facility, and product are specified. Max Duration must be set for this feature to work. Example: When using multi-duration products, the discount is applied to each session. E.g., If the discount is $5 off per session and you book 120 minutes (made up of two 60-minute sessions), the total discount will be $10.
Min Duration	The minimum number of sessions required for the discount to apply.
Max Duration	The maximum number of sessions the discount can be applied to when using multi-duration products. This setting refers to the number of sessions, not the total duration in minutes. Example: If selling 30-minute sessions and you want to apply the discount for up to 90 minutes, set this value to 3 (representing three sessions).
Checkin Message	The message that is displayed to the operator in the POS when checking in a booking that has the discount applied

Discount Voucher Settings

Create Single Use Codes

If set to YES:

The discount code cannot be used directly
Generate single-use codes in Operations > Discount Vouchers
The entered discount CODE serves as a prefix for the unique code. Example: If the code is SUMMER10, generated codes may be SUMMER10-XYZ123
If linked to a membership product then one code will be created when a membership is purchased, providing the Maximum Voucher Quantity has not been reached.

If set to NO:

The discount can be applied directly without generating individual codes.

Maximum Voucher Quantity

The maximum number of vouchers that can be generated. This can be adjusted later to allow for more vouchers if needed.

If the discount is linked to a membership ("For Members Only" = Yes), only one code is created per membership purchase. The Maximum Voucher Quantity determines the total number of memberships that can receive a code.

Example: To offer a 50% party discount to the first 10 membership buyers:

Set Maximum Voucher Quantity to 10.
The first 10 customers will receive a unique code for the discount. Customers purchasing memberships afterward will not receive a code. Membership sales, however, will continue as normal beyond this limit.

Note: This variable will only appear if Create Single Use Codes is YES

Members/Membership Details

For Members Only

If set to Yes:

Additional restrictions apply (see Member Type)

If set to No:

Aside from the specified discount criteria, no additional restrictions apply

Member Type

If set to Member:

The customer must have purchased a membership, and this discount must be linked to the membership product.

If set to Organisation:

This will only work if For POS Sales Only = YES
The customer must have a customer record with MEMBER TYPE = ORGANISATION to qualify.

If set to Staff:

This will only work if For POS Sales Only = YES
The staff member must have a customer record with MEMBER TYPE = STAFF to qualify.
Can be used to track staff discounts in the POS

Note: This variable will only appear if For Members Only is set to YES

Restrictions

Add any days, times or dates where the discount cannot be used.

For example: cannot be used on Saturday’s and Sundays for the month of February.

Product Types

At least one product type is required.

If the discount is for POS only, then Booking Product Types cannot be selected.

Default application

If no further changes are made, the discount will apply to all the facilities and associated products within the selected Booking Product Types, POS Product Types and Voucher Product Types.

Filters

After entering all details and pressing SAVE, the FILTERS section will appear, allowing you to restrict the discount to specific locations and products.

Locations

If no location is set, the discount applies to all locations
If one or more locations are set, the discount applies only to those locations and not to any others

Facilities

If no facilities are set, the discount applies to all facilities and associated products within the selected Booking Product Types, POS Product Types and Voucher Product Types
If one or more facilities are set, the discount applies only to those facilities and not to any others

Products and Extras

If no products and extras are set, the discount applies to all products within the selected facilities within the selected Booking Product Types, POS Product Types and Voucher Product Types
If one or more products and extras are set up, the discount applies only to those products/extra's and not to any others

Notes

If any modifiers that are linked to POS Products have an associated cost, the discount will apply to those costs as well
