How to create an overbooking quantity for a resource pool

Configuring overbooking in VenueSumo allows venues to efficiently handle bookings beyond their standard capacity. This guide provides step-by-step instructions on how to set up and activate overbooking capabilities.

Setting up the booking quantity in the 'Resource Pools':


  1. Go to Settings> Locations> Pools and select the resource you would like to add a overbooking quantity to.

  1. Under 'OVERBOOKING QTY' select how much you would like the ability to overbook by. For example, if the venue would like to oversell by 10 spaces you would add in -10.

Activating the overbooking quanity in the 'Blocked Capacity':


  1. Go to Orders> Blocked Capacity and select your location and 'New' in the top right corner.

  1. Under 'Details', name the blocked capacity. Because this process is adding 'negative' blocked capacity, the venue will not need to add a 'Sold Message' or 'Sold Link'. Add more advanced settings such as:
  • Date Range
  • Time Range
  • Specific day of week


  1. Under 'Availability Pools' tick the resource book you added a 'OVERBOOKING QTY' to (see part 1 step 2). Under 'QTY' add your value, if you add -10 the system will add the 'negative' blocked capacity, allowing you to overbook that resource.

NOTE: You can set the overbooking value between the range you had set in the 'Resource Pool', in this example the venue can choose to allow overbooking anywhere between -1 and -10.


  1. Save your 'Blocked Capacity'.


  1. Overbook the resource and check the 'Bookings Calendar'
